SUMMARY: This position ensures delivery of excellent customer service through fast and accurate processing of orders, communication, and coordination. This position will serve as the key conduit between customers, sales managers and all other departments within the contract packaging business including operations, QA, R&D and logistics. Builds and maintain business relationship with customers by providing prompt and accurate service so as to promote customer loyalty.
Essential Duties and Responsibilities:
- Responsible for coordinating all sample requests with R&D department and relaying tracking information, emailing specification sheets including nutritional facts, labels, formulas and other documents such as Kosher certs, Organic certs, to customers
- Responsible for acknowledging and confirming all incoming Purchase orders with customers including estimated ship dates. Enters all PO’s in Syspro. Responsible for communicating any deviations from original ship date and reasons for deviations with customers. Monitor customer’s payment status in Syspro weekly and notify Sales Managers and Accounts Receivable of any outstanding issues.
- Send customers PGP Credit application and new customer form; coordinate completion of packet and forward to accounting once complete. Responsible for completion of Contract packaging capability kit for each new prospective customer. Initiate production dockets once projects are ready to transition from R&D to production phase.
- Entry of complaints, relay all follow up details to QA and additional departments. Coordinate return of goods and credit memos, if applicable
- Relay product shipment requests from customers to shipping and details of product shipments to customers.
QA: Confer with QA to manage status of product releases, Kosher/Organic certificate renewals, audit reports and communicate information with customers as needed.
- Communicate status of all outstanding issues with Sales Manager daily. Complete weekly inventory and open PO reports as needed and send to customers. Attend routine meetings in lieu of sales Managers when they are not available.
- Assist Sales Managers and purchasing department in managing rolling forecast volumes to ensure ingredients and packaging purchasing in timely manner.
- Manage booth reservations and sample shipments to and from trade show sites. Assist Sales Managers in initiating and compiling customer contact lists after trade shows and conventions.
Jobholder Entry Requirements:
High School Diploma or GED. 1 – 2 years of customer service experience. Computer literacy not limited to Microsoft Excel and Word. Clear Oral and Written Communication via Phone and E-mail. High level of multi tasking and organizational skills.
